WhatsApp is where many high-intent conversations begin. A buyer asks about a property, a course, a financial product or an appointment. If the answer waits until the next working day, the opportunity may disappear.

An immediate reply solves only the first few seconds. The business still needs to understand the request, ask the right questions, use current information, decide what happens next and preserve the conversation in the system the team already uses.

A useful WhatsApp agent carries that operation. A generic chatbot produces messages.

Give the agent a job, not a personality

The job should be concrete. For example: respond to new property enquiries, establish budget and timing, match the buyer against available inventory, then prepare a site-visit handoff for a salesperson.

That statement defines what the agent is responsible for and where its responsibility ends. It also gives the team something to measure. Response time matters, but so do completed qualification, accepted handoffs, meetings booked and later conversion.

Tone still matters. The agent should write in the company’s voice and adapt to the customer’s language. Personality cannot compensate for an uncertain price, unavailable inventory or a missing escalation rule.

Qualification has to reflect the real sales decision

Many lead agents ask a fixed list of questions and assign a score. That can work when the criteria are stable. It fails when the same answer means different things in different contexts.

A ₹50 lakh budget may be viable for one development and irrelevant for another. A buyer with a longer timeline may still deserve immediate attention if they represent a larger account. The system needs the company’s actual qualification rules, including the exceptions experienced salespeople already understand.

Keep the criteria visible. A salesperson should be able to see why the lead was classified, correct the record and identify which answer changed the route. When the team repeatedly overrides the same rule, that is evidence that the qualification logic should change.

Live context separates an agent from a form

The agent needs current information from the systems around the conversation. That may include product availability, location, price, eligibility, service capacity, account history or calendar access.

Retrieval should not mean placing every document in a large knowledge base and hoping the model finds the right paragraph. Decide which source is authoritative for each fact. Include freshness and permission checks. When the answer is uncertain, the agent should say so and ask a person rather than invent certainty.

The interaction can still feel natural. The customer does not need to see the underlying orchestration. They should receive an accurate answer and a clear next step.

The handoff is part of the product

When a lead reaches a salesperson, the handoff should carry the customer’s request, relevant answers, matched options, unresolved questions and reason for escalation. A raw transcript transfers effort instead of removing it.

The salesperson needs to know what the agent has promised. The CRM should show the same state as WhatsApp. If a meeting was booked, the calendar event should include the brief. If the customer returns later, the next conversation should continue from the existing record.

Start with one bounded route

Choose one inbound number, one lead type and one team. Define the qualification criteria with the people who currently make the call. Connect a small, current knowledge source and one CRM route. Keep pricing exceptions, commitments and sensitive decisions with a named person.

Review the first conversations closely. Measure time to first useful response, qualification completion, handoff acceptance, meeting attendance and human corrections. Those measures show whether the agent improved the sales operation or merely added another channel.
