AI Discovery & Implementation Roadmap

The operation, connected

Know where AI can change the economics of your business.

Aiwah works with leadership and the people running the operation to find where time, revenue and management attention are being lost. We examine real work, connect it to the systems underneath, and turn the strongest opportunities into a practical AI implementation roadmap. Each recommendation explains what changes for the business, what must be built and how improvement will be measured.

A collection of AI ideas is difficult to fund or execute. The missing information is usually specific: which process costs the most, whether the required data is usable, who owns the change, and what the system will cost to run. Discovery resolves those questions before a broad implementation commitment.

  • Teams have experimented with AI but cannot connect the work to a business result.
  • The opportunity list is long, but dependencies and delivery effort are unclear.
  • Leadership needs a shared plan that operations, engineering and finance can use.

What we can build

Purpose-built capabilities.
One connected system.

Scope the combination that solves your operating problem, with clear responsibilities for software and people.

01

Workflow audit

Follow an actual enquiry, invoice, order or case through its full journey. Record the waiting, re-entry, decision points and exceptions alongside the people responsible.

02

Systems and data assessment

Map the applications, documents, interfaces and ownership behind the workflow. Identify missing access, unreliable records and integration constraints that affect feasibility.

03

Opportunity prioritization

Compare potential value, implementation effort, operational risk and readiness. Make the assumptions visible so a high-impact idea can be challenged before it becomes a project.

04

Solution and experience design

Describe how people and software will share the work. Define the screens, automation, integrations, decisions and evidence needed for a usable first release.

05

Business case and running costs

Estimate build effort and ongoing model, infrastructure and support costs using expected volumes. Separate measured baselines from assumptions and identify what would change the economics.

06

Implementation roadmap

Sequence a focused first release and the capabilities that follow. Attach owners, dependencies, acceptance criteria and a measurement plan to each stage.

Opportunity mapPriorities connect impact to feasibility.

A delivery sequence replaces a disconnected list of AI ideas.

An example workflow

From the first signal
to the next accountable action.

This is a starting point for design. The actual workflow, permissions and integrations are scoped around your operation.

  1. 01

    Observe one real workflow

Start with a working session and representative records. Agree the problem, baseline and people who can validate the proposed change.

  2. 02

    Test the opportunity

Check data access, integration feasibility and decision boundaries. Use a focused demonstration where it will resolve a meaningful uncertainty.

  3. 03

    Design the first release

Define the operating experience, technical approach, delivery scope and costs. Review the plan with the people who will use and own it.

  4. 04

    Agree the next decision

Deliver the prioritized roadmap, assumptions and success criteria so leadership can decide what to build first.

Works with your existing tools

Connect the systems that already matter.

Discovery covers the tools you already run: ERP, support platforms, finance systems, spreadsheets, shared documents, email and messaging. Access and sample data are scoped to the question being investigated.

Measures we can define together

  • Current cost per workflow
  • Time spent on manual handoffs
  • Expected operating cost
  • Readiness for a first release

We establish a baseline and agree a measurement method. Results depend on your process, data and adoption; these are measures to track, not promised outcomes.

From discovery to live operation

A team responsible for the system, not just the handoff.

We begin with a working session around a real example. We map the workflow, identify the costly handoffs and agree the decisions, permissions and integrations the system needs.

We then shape a focused first release, build the operating interfaces and test routine work alongside exceptions and failure recovery. Rollout includes the people using the system and a way to observe whether the change is helping.

You keep practical control of the code, workflows, business logic, data and operating context we create, subject to third-party services and licences. Support and continued improvement are scoped with the engagement.

Before we begin

Your questions,
answered clearly.

What is included in the first conversation?

We offer one free workflow audit and an initial AI implementation roadmap discussion. Bring a concrete process and examples of where it slows down. A broader discovery programme, detailed technical assessment or build is scoped separately.

Do we need to choose an AI model first?

No. We start with the operational problem, data and expected volume. Those findings guide whether the solution needs rules, integrations, an AI model or a combination.

Can our internal team build the roadmap?

Yes. The roadmap should make the scope, assumptions, dependencies and acceptance criteria clear enough to review with your internal team. We can also take responsibility for implementation and ongoing improvement.
